Note: This process is available only AFTER a client has been saved after initial setup.
Note: All Client Service Rates and Fuel Levies have a Valid “From” and Valid “To” date.
The business should decide how long they are going to be on the rates set on these screens and a review of these rates SHOULD be performed on a regular basis.
Step 1
Go to the Client Administration screen by clicking the following icon in the top left corner.
Step 2
Select the appropriate client using the search function.
Step 3
Once the client has been selected, select “Service Rates” from the Rate Details section.
Step 4
In the Client Service Rates section select the “Create New Rates” button in the top right corner to create new rates.

- This section is for the user to enter the following information if they would like to set specific Client Rates :

- Rate Table Name – this should correspond to the contract in place with the client.

- Outside Metro Surcharge % - this is the amount that will be charged if the job includes suburbs that are outside of the metro area

- Valid From – This is the date that the Custom Rates will be valid from. This allows the user to set the rates in advance.

- Valid to – This is the date that the Custom Rates will be valid to. If the Custom Rates expire and another Custom Rate is not created, the client rates will default to the Division Service Rates that are set in the Default Rates Configuration and if NO Division service rates are configured in the Default Rates Configuration, the client’s service rates will revert to the current Division Service Rate Table.

Step 5
Selected Applied Rates – This allows the user to select the different rate and service types for the specific client rates to be applied to.

- Zone
- Distance
- Unit Rate
Note: Unit rate is not linked to a specific vehicle type

- Once Service Types have been selected, they will appear in a table below. (Each Rate Type will appear in its own section)
Time Rates
Step 6
Select a Service Rate to edit.
- For Time Rates, the user is prompted to enter the following information for each Service Type selected for Custom Rates:

- Rate – Amount ($) and Multiplier – This is how the charge will be applied on jobs
- Minimum Charge - # and Multiplier – This effects the pricing and will not allow the user to price the job if it does not meet the minimum charge
- Charge Increment - # and Multiplier – If this is set to 15 minute increments, the rate will be required to be charged in minimum 15 minute increments
- Grace – This is how any rounding is applied. If the charge increment is set to 15 minutes, the pricing screen will automatically round to a 15 minutes based on this grace type (round up, round down or nearest)
- Standby Rates – If standby rates DO NOT APPLY, these should be left as 0 in all fields. Standby Rates will only apply to Nicknamed/Common addresses that are marked as applying standby rates – refer to Common / Nicknamed addresses instructions.
- First Leg – This is used to assist the pricing of a job and will automatically calculate an approximate amount of time from a location to the first leg.
- Last Leg – This is used to assist the pricing of a job and will automatically calculate an approximate amount of time from the last leg to a location.
- Fuel Levy – If this is set to true, then Fuel Levy will be applied to the job.
- Copy – if a user would like to copy a rate line item to other lines, the user can use the copy function.

Step 7
When the user has finished setting the rates, the user presses the Save New Rates button. This will save the Client Rate table.

Setting the Division Service Rates:
Step 1
To set a client to use default rates Select “Division Service Rates” from the client details menu.
Step 2
If the user would like the Division Service rates that the Client Service Rates utilises to be different to the most recent Division Service Rates, the user clicks the "Apply Alternate Division Rates" button. This will open a new dialog box for the user to enter the following information:
- Division Default Rates – this is a drop down select of all of the Division Default Rates that are available.
- Valid From – this allows the user to update the Client Service Rates in advance.
- Valid to – this is when the Default Rate configuration will expire. If this expires and a new Default Rate configuration is NOT set, the Default Rates set for the client will default to the most recent Division Service Rates
Client Specific Fuel Surcharge
Step1
To set a client specific Fuel Surcharge the User selects “Fuel Surcharge” from the client details menu.
Step 2
The User Selects the Create New button which will open a new dialog to allow them to enter. The user is required to fill all information before they can save the Fuel Surcharge.

- Fuel Surcharge Rate as a percentage of the freight charge
- Valid From – this is the date that the new fuel surcharge will be valid from. This allows users to enter the new fuel levy in advance.
- Valid to – this is the date that the fuel surcharge should be reviewed. This should correspond with the contract with the client.
