Step 1
The user has two opportunities to assign an Outside Hire contractor to a job.
- As part of the job booking process, the user enters the Pre-Allocated Fleet Asset as an “Outside Hire Fleet ID”.
- The user is then prompted to enter in contact details for the Outside Hire so that they can be contacted while the job is being performed.
- The contact details will be added as a “NOTE” on the job for reference to the operations.
- In the dashboard screen, after the job has been booked, the user can assign the job to an Outside Hire Contractor by selecting the job, entering an “Outside Hire Fleet ID into the truck field and the Driver field will be populated with Outside Hire

- As part of pre-allocating to the Outside Hire contractor, a popup will appear requesting the user to enter contact details for the Outside Hire so they can be contacted while the job is being performed.

- The contact details will be added as a NOTE on the job for reference to the operations.
Step 2
The job will now have a slightly different appearance and a note at the bottom to indicate that it is assigned to an Outside Hire contractor.
Note: we have not yet allocated it at this stage, it is still in the pre-allocated state.
Step 3
Once the user is ready to allocate the job fully to the Outside Hire contractor, they press the allocate button on the job. The user might also note that there is a second indicator that this is an outside hire job by the small icon to the left of the job booking time.
Step 4
The job is now available in two screens; the Outside Hire’s Allocated Work and the “Requires Attention” tab.
- The Outside Hire’s Allocated Work
- The Requires attention tab.
Note: the jobs in the Requires Attention tab are either Outside Hire or Client Booked jobs
Step 5
To progress the job, the user must view the job details of the allocated job.
Step 6
The Job Details will now show in multiple places alerts to the user that the job is an Outside Hire job, as seen in the screenshot below.
Step 7
Once the user is ready to start the job, they click the Menu button (3 vertical dots with the exclamation mark next to it) and click Start Outside Hire Job.
Step 8
This will request the user to confirm Job Commencement before they are able to start the job.
Step 9
The job is now in a commenced state. When the user is ready to complete the job, they repeat step 5 to again bring up the job details screen. The user will notice that the status is now “in Progress”.
- Throughout the jobs progress, the user can upload attachments through the attachment menu item in the job details then clicking add attachment.
- A popup will appear prompting the user to select which leg the attachment is related to and what type of attachment it is
Step10
Once the user has confirmation from the Outside Hire that the job is completed, they click the Menu button (3 vertical dots with the exclamation mark next to it) and click “Complete Outside Hire Job”.
- This will request the user to confirm job completion.
Note: The user can add attachments after the job is completed.
Step 11
The job can then be priced in the Job Pricing Screen in the usual process. Some additional notes appear to remind the user that they are pricing an outside hire job.
