Creating a new driver can be done in one of two ways.
Step 1
Go to the Fleet Administration Screen by click the following icon in the top left corner.
Step 2
Then select “Create New Driver” by clicking on the 3 vertical dops in the top right corner then select “Create Fleet Asset Owner”.
Step 3
After clicking “Create New Driver” The following mandatory fields in Personal Details section listed under Driver Info need to be completed before being able to progress.
Note: Once “Required” fields have been completed and saved the other sections of the “Driver Info” will become assessable.
Associations
Note – Using this method for driver creation will create a driver without associating it to a specific fleet asset owner.
Step 4
Select “Associations” from the Driver info section. Then select “Add Association” from the top right of the screen.

- Using the search function available in the above field select the Subcontractor to associate the new driver to.

- Select the “Confirm Association” to complete the process.

- The other way to create a new driver is from within the Fleet Asset Owner Record.
- Click “Drivers” from the “Assets and Drivers” section.

- Click the “New Driver” Button in the top right corner.

Inductions

- Induction Types – This section is available for the user to enter the different Inductions that the Driver has completed.
- For each induction, the user is prompted to enter the Induction Date, Expiry Date, Certificate # and the ability to upload a copy of the certificate.

Step 12
Next of Kin
To Add a “Next of Kin” record select the “Add Kin” button in the top right of the screen.

- This allows the user to enter the Next of Kin of the driver so that if an incident were to ever occur, the company can provide details of Next of Kin or contact them directly.

- After entering in “Next of Kin” details Select “Save Next of Kin” button

Step 13
Drug and Alcohol Tests
This allows the user and company to record the results of any Alcohol tests done on the request of the clients.
To Add a “Test” record select the “Add Test” button in the top right of the screen.

- The following fields are required to be completed.
- Test Type – Drug / Alcohol
- Test Date
- Result – Positive / Negative
- The following fields are required to be completed.

- After entering in “Drug and Alcohol Test” details select the “Save” button
- Past test results will be displayed within the Drug and Alcohol Testing section.
Step 14
VISA Details
This allows users to record any VISA details for the Driver to ensure that the company is complying with any relevant employment laws.

- To enter the “Visa Details” select the Edit button in the top right of the screen.

- A copy of the Visa can be added to the drivers record.
The Visa details can be added within the “Visa Details” section.

- Document type – DFTTA, ImmiCard, Passport, PLO56, Titre de voyage
- Reference Type – Transaction Reference number, Visa Evidence, Visa Grant Num, Passport
- Document Number
- Country
- Visa Details to be entered.
Step 15
Immunisation History
This allows users to record any Immunisation details for the Driver to ensure that the company is complying with any relevant Health requirements.

- To Add an “Imunisation” record select the “Record New Dose” button in the top right of the screen.

- After entering in Immunisation details select the “Confirm” button

Completion of Setup

- Once the user is satisfied that the information is complete and accurate, press the Save Driver Details
- Once the driver is created, the user is taken back to Fleet Asset Owner page. The user can then navigate to the driver and click the View Driver Details to confirm that an account was successfully created for the user.
- Once the user is satisfied that the information is complete and accurate, press the Save Driver Details

- Once Confirmed that Driver account has been created the driver can be set to active then click save.
Step 17
Driver Account Confirmation
Once the driver account has been created, they will receive an invite via email.
When the driver follows the link from the email, they will be directed to a page to set their security questions and password.
Note: The drivers’ username for logging into the app is their email address.
Once the Driver has set their Security Questions & Password the Account Status will change from “Pending” to “Active”
